1. Acceptance of Terms

By accessing or using the PolarisOP website and services, you agree to be bound by these Terms of Service. If you do not agree to these terms, please do not use our site or services. These terms apply to all visitors, users, and clients of PolarisOP.

2. Description of Services

PolarisOP provides bilingual staffing and workforce management services for personal injury law firms. We recruit, vet, place, and manage legal support staff including case managers, intake specialists, medical records coordinators, settlement coordinators, and administrative personnel.

All placed staff operate exclusively under the supervision and direction of licensed attorneys at your firm. PolarisOP does not provide legal advice, legal strategy, or client representation.

3. Not a Law Firm

PolarisOP is not a law firm and does not provide legal services. All staff placements are for administrative and operational support roles only. Legal strategy, client representation, attorney work product, and all attorney-client privileged communications remain the sole responsibility of licensed attorneys at your firm. PolarisOP does not share in legal fees, settlements, or case outcomes.

4. Client Responsibilities

Clients are responsible for directing the legal work, supervising staff activities, maintaining attorney-client privilege, and ensuring compliance with all applicable legal and ethical obligations. Clients must provide accurate information about their staffing needs, workflows, and system access requirements to enable effective staff placement.

5. Fees and Billing

PolarisOP charges transparent monthly rates for fully managed staff placement. All fees are agreed upon in writing before staff deployment. There are no hidden recruiting fees, placement fees, or surprise charges. Volume pricing is available for firms placing multiple staff members. Billing terms are specified in each client service agreement.

6. Confidentiality and Data Security

PolarisOP and all placed staff are bound by strict confidentiality obligations. Business Associate Agreements (BAAs) are available for clients requiring HIPAA compliance. All staff handling medical records or protected health information complete HIPAA training before deployment. Clients are responsible for maintaining secure access controls within their own systems.

7. Limitation of Liability

PolarisOP's liability is limited to the direct damages arising from our staffing services and shall not exceed the total fees paid by the client in the twelve months preceding the claim. We are not liable for any legal outcomes, case results, or attorney work product. All legal strategy and client representation remain the responsibility of the client's licensed attorneys.

8. Termination

Either party may terminate the staffing relationship in accordance with the terms specified in the client service agreement. PolarisOP reserves the right to terminate services immediately for non-payment, misuse of placed staff, or violation of these terms. Upon termination, all firm-specific data and access credentials will be revoked.

9. Changes to These Terms

We may modify these Terms of Service at any time. Changes will be effective immediately upon posting to this page. Your continued use of our services following any changes constitutes acceptance of the revised terms.
